What fleet management software works for a small taxi fleet?

Every shift in Tomcabs is opened against a specific taxi, with an opening and closing kilometer index. Every race belongs to a shift. Every expense a driver logs belongs to a shift too. That means the vehicle accumulates a complete operational history without anyone maintaining it separately.

From that history a manager can answer the questions that actually drive fleet decisions. How many kilometers did vehicle 4 cover this month, and how much revenue came with them? Which drivers used it? What did it cost in logged expenses? Is one car consistently producing less than the others?

This is also what makes the kilometer sequence checkable. Consecutive shifts on the same vehicle should join up; when they do not, either a shift is missing or an index is wrong, and the break is visible instead of buried.

Utilisation, idle vehicles and driver assignment

The expensive failure in a small fleet is not a breakdown; it is a car sitting still. A vehicle with no shifts against it is costing insurance, licensing and depreciation while earning nothing, and in a company run on paper that can go unnoticed for weeks.

Because shifts are attached to vehicles, a gap in a vehicle's schedule is directly visible. So is the opposite problem: one car carrying a disproportionate share of the work while another is barely touched, which shortens the life of the first without extending the usefulness of the second.

Combined with per-vehicle revenue, this gives an owner the input for the decisions that matter at this scale — whether to add a car, retire one, or reassign a driver.

What Tomcabs does not do

There is no GPS tracking, no telematics hardware, no driving-behaviour scoring and no automated maintenance scheduling. If your requirement is real-time vehicle location or engine diagnostics, a telematics provider is the correct choice and Tomcabs is not a substitute.

The trade-off is deliberate. Telematics platforms require hardware in every vehicle and a subscription per box, which is a poor fit for a six-car operator whose actual problem is administrative.

Tomcabs runs on data the drivers already produce by working, which is why it costs €20 to €50 per month for a company rather than a per-vehicle hardware fee.
