Free taxi management software in Belgium

Search for free taxi management software and most of what comes back is not free. It is a fourteen or thirty day trial, a demo account with sample data, a freemium tier missing the one feature you actually needed, or a free product that asks for a card and quietly converts.

That pattern is why the word has stopped meaning much. It is worth being precise about which kind this is, because the difference determines whether you can run a business on it or only evaluate it.

Tomcabs Free is a permanent plan, not an evaluation period. It costs €0 per month for a company with one person and one active taxi, it does not expire, and signing up never touches a payment provider.

One person in the workspace and one active taxi. In practice that is the owner-driver: someone who holds the licence, drives the car, and does their own administration. In Tomcabs that single account switches between the manager dashboard and the driver view, because those are the same person.

The limit is on people rather than on roles. A second driver requires a paid plan, and so does a second manager — adding a bookkeeper or a partner to the workspace is what ends the free tier, not just adding another driver.

The other boundary is the vehicle. One active taxi is free; a second active vehicle requires Pro. Deactivating a taxi you no longer run keeps you within the limit.

Shifts opened and closed against the vehicle with kilometer indices. Races recorded with amounts and payment methods across cash, card, Bolt, Uber and invoices. Expenses logged during shifts. Balances, documents, activity history and the vehicle record.

Belgian road sheets are included. This is the point worth stating plainly, because it is the feature a Belgian operator would most expect to be paywalled: road sheets are assembled automatically from shift data and exportable per date on the free plan, exactly as on a paid one.

What the paid plans buy is capacity, not capability. Plus (€20 per month) allows one taxi with an unlimited team. Pro (€50 per month) allows up to three taxis. Fleet is priced individually for four or more. None of them unlocks a feature the free plan is missing.

Belgian taxi regulation is regional, and Brussels-Capital and Wallonia both require operators to keep service records — the direction of travel being digital retention rather than paper books. A solo driver carries that obligation exactly as a twenty-car company does, on a fraction of the revenue.

Software priced per company at €20 to €50 a month is affordable for a fleet and awkward for one person, which is how a lot of Belgian owner-drivers ended up keeping their records in a notebook. Making the single-vehicle case free removes the reason to.
